Volunteer syndic software: choosing between a tool alone and real support

You have just been appointed volunteer syndic and the spreadsheet no longer copes: calls for funds, invoices to split, a general meeting to prepare. Here are the solutions designed for your situation, their published prices, and who answers when you get stuck.

You accepted the mandate at the general meeting, the neighbours thanked you, and the outgoing syndic's file has landed on your desk. For the first few weeks, a spreadsheet does the job. Then comes the first maintenance invoice to split according to the shares, the first co-owner who pays late, the first meeting notice to draft. That is often when the question arises: do you need volunteer syndic software, and if so, which one?

This page only compares solutions explicitly aimed at volunteer syndics. The full panel of management software, including the tools used by professional firms, is in our comparison of co-ownership management software in Belgium. Here the question is narrower and more practical: what genuinely helps a co-owner who manages their own building?

What does a volunteer syndic actually need from a tool?

Let us start with the obligations, because they set the specification. The Civil Code knows only one syndic: volunteer or professional, the duties are the same. The volunteer syndic page sets them out in detail; here are the ones that matter when choosing a tool.

The co-ownership's money never goes through your personal account. You open at least one account for the working capital fund and another for the reserve fund, in the name of the owners' association (VME/ACP) (Art. 3.89, § 5, 3°). A good tool tracks these two accounts separately and tells you, at any moment, how much is left in each.

The accounts must be clear and accurate. Below twenty units, cellars, garages and parking spaces not included, they may be simplified and must at least show income and expenditure. Above that, the standard minimum chart of accounts set by the Royal Decree of 12 July 2012 is mandatory (Art. 3.89, § 5, 15°, of the Civil Code). The details of that chart are on the page on co-ownership accounting and the standard chart of accounts.

Every year, you present budget estimates for routine expenditure and for extraordinary costs (Art. 3.89, § 5, 16°). You convene the general meeting and keep the documents available. And your mandate must be registered with the Crossroads Bank for Enterprises (KBO/BCE) through an approved business one-stop shop: a volunteer is not exempt.

In practice, the tool therefore has to do four things without making you re-enter everything:

  • split each invoice between the units according to the shares or the agreed allocation keys;
  • produce the calls for funds and chase those who have not paid;
  • at the end of the financial year, produce a statement per co-owner that the general meeting can approve;
  • prepare the notice, the agenda and the minutes.

Every tool on this page covers the essentials of this list, except Syndic24's Particulier plan, which does not handle the general meeting. The real difference lies elsewhere.

Software or support: who answers when you get stuck?

Software calculates. It splits a heating invoice in three seconds, sends out the calls for funds and produces tidy minutes. What it does not do is tell you whether the roof invoice belongs to the reserve fund or to routine charges, whether the majority obtained at the meeting was enough for the decision taken, or why your annual statement does not balance.

That is the question we ask of every solution in this comparison: on the day you are stuck on a statement or a meeting, who picks up the phone? A volunteer is on their own by default, and the Civil Code does not grant them any leeway for it: the same duties, the same accounting as a professional.

Two families therefore emerge in the panel.

Solutions concernedSyndic24, Konvivio, SyndicIA, OpenACP Free, Basic and SmartSyndic Yourself (from Premium), OpenACP Coached

To be fair: Syndic Yourself is not the only one offering expert hours. OpenACP's Coached plan includes six a year. The difference lies in the scope of the service around those hours, not in the mere fact that they exist.

Our view: if you have kept accounts before, software alone may be enough. If you are new to managing a building, the cost of an undetected error (a statement challenged at the general meeting, a reserve fund that is not properly topped up) often exceeds the price gap between the two families.

Why we put Syndic Yourself first

We said so in the box at the top: this site promotes Syndic Yourself. Here are the factual reasons, verifiable on the provider's pages as consulted on 25 September 2026, that justify its first place for a volunteer syndic.

First, its positioning. Syndic Yourself presents itself as an online platform backed by a team of experts in accounting, law and co-ownership, supporting the volunteer syndic. It is not a professional syndic: you remain the syndic, with your responsibilities, but you are no longer facing them alone. The Premium and VIP plans include 3 and 5 hours of expert assistance respectively, to be used within 12 months of signing.

Second, the steps that often block a new volunteer are taken care of as options. Registering the syndic with the Crossroads Bank for Enterprises and registering the owners' association each cost €40 plus the registry fees. The syndic's liability insurance, which is mandatory and paid for by the association when the mandate is unpaid, is included in the VIP plan or offered as an option at €75 a year. To find out what this insurance must cover, see the page on liability insurance for volunteer syndics.

Third, the accounting option. For those who do not want to do the bookkeeping themselves, the team handles the monthly entries and the annual statement for the general meeting. The price depends on size: €6.00 per unit per month for 6 units, €5.00 from 8 units, on top of the subscription. The page for this option does not mention VAT; the pricing page states generally that all prices include VAT.

Finally, languages. The site and the service exist in Dutch and in French, which matters in Brussels, where some co-owners may prefer one language or the other.

The downside is clear, and we would rather put figures on it. Syndic Yourself costs more than software alone, with a €185 set-up fee in the first year. The Basic plan includes no expert hours, which brings it close to standard software at a higher price. And the provider publishes nothing on the standard minimum chart of accounts: if your building has more than twenty units, ask before you sign up.

How much does each solution cost for a 6-unit building?

Prices are expressed sometimes per unit, sometimes per building, sometimes including VAT, sometimes excluding it. To make them comparable, we have brought them back to a single case: a building with 6 billable units, no options. All amounts come from the providers' pages, consulted on 25 September 2026. We have not estimated anything.

Solution and planPublished priceMonthly cost for 6 unitsCost over 12 months

OpenACP Free€0€0€0
OpenACP Basic€4/month/unit, incl. VAT€24€288
OpenACP Smart€7/month/unit, incl. VAT€42€504
OpenACP Coached (maximum 6 h of expert time per year)€13/month/unit, incl. VAT€78€936

Three points to help you read this table. The amounts in brackets for Syndic Yourself include the €185 set-up fee, payable in the first year only. Konvivio's figure including VAT is our conversion at 21%, since the provider displays its prices excluding VAT. For OpenACP Coached, the help centre does not state the unit, but OpenVME's pricing page gives €13 per unit per month.

One detail changes the calculation: at Syndic24, cellars, garages, parking spaces and boxes are not charged. If your building has six apartments and six garages, you pay for six units, not twelve. OpenACP (OpenVME) does not count garages, cellars and storage rooms either. The other providers in the panel publish no equivalent rule; check with them what they count as a unit.

The overall picture is simple. For 6 units, software alone costs from €0 (OpenACP Free) to €42 a month in this panel, and €12 for the cheapest paid plan. A plan with expert hours starts at €48 a month with Syndic Yourself. What moves you from one column to the other is not the number of features, it is having a person who answers.

Choosing your solution in six checks

Before you sign up, take an hour and put each offer through these questions. The free trials (7 days at Syndic24, 14 days at SyndicIA, the Free plan at OpenACP) are there precisely for that.

  • Does your building have more than twenty units, cellars, garages and parking spaces not included? If so, insist on a standard minimum chart of accounts and ask for it in writing when the provider does not publish it.
  • Who answers when you get stuck? Software alone, or included expert hours, and how many per year?
  • Does the price include VAT? Bring each offer back to an annual cost including VAT for your number of units, set-up fees included.
  • What counts as a unit? Are cellars and garages charged?
  • How many buildings do you manage? Some volunteer plans are capped.
  • Which language do your co-owners work in? In Brussels, an interface and support in both Dutch and French can avoid misunderstandings at the general meeting.

If this is your first mandate, start with the first steps described on the page becoming a volunteer syndic: appointment, public notice, KBO/BCE registration, bank accounts. The tool comes afterwards. And if you are still unsure about the volunteer syndic model itself, our co-ownership comparisons put the options side by side.

The solutions one by one

  1. 1

    Syndic Yourself

    Official website ↗

Online platform and a team of experts supporting the volunteer syndic · Volunteer syndics who want a tool and experts they can ask questions

The most complete choice for a volunteer who does not want to face a statement or a general meeting alone. It costs more than software alone, and that difference pays for the support.

    Strengths
    • Team of experts in accounting, law and co-ownership, with hours included from Premium upwards
    • Registration of the syndic and of the VME/ACP with the Crossroads Bank for Enterprises offered as an option (€40 + registry fees each)

    • No expert hours at all in the Basic plan, and hours must be used within 12 months of signing
    • Nothing published on the standard minimum chart of accounts

    Strengths
    • The lowest paid rate we found for a volunteer
    • Cellars, garages, parking spaces and boxes not charged
    • Accounting advertised as compliant with the Belgian chart of accounts, and automatic water calculation
    Limitations

    • Particulier plan without general meetings or minutes, which are reserved for Premium
    • Free trial limited to 7 days
  3. Software · Volunteer syndics (dedicated plan) and professionals

Worth a look once the building has several units, thanks to the price per building. It is a tool, not a support service.

    Strengths
    • Price per building, which does not rise with the number of units
    • Online GMs and voting, claims tracking, co-owner portal
    • No commitment, can be cancelled at any time
    Limitations

    • Prices shown excluding VAT: add 21% to compare
    • No expert assistance found in the offer
  4. Software with artificial intelligence · Professional and volunteer syndics

An option to consider if artificial intelligence appeals to you and the advertised accounting compliance reassures you. Check the price including VAT before you commit.

    Strengths

    • Majorities under Article 3.88 of the Civil Code calculated
    • 14-day free trial
    Limitations
    • VAT not specified on the displayed price
    • No Dutch version found
    • No expert assistance found in the offer

    OpenACP / OpenVME

    Official website ↗

Software, with a free plan and a supported plan · Co-owners who manage their own building, and professional syndics

The only free solution in this panel, and the Coached plan shows that support is not exclusive to Syndic Yourself. Its price is per unit, like Basic and Smart.

    Strengths
    • A free plan to get started
    • Coached plan with 6 hours of expert time per year
    • Same product in French (OpenACP) and in Dutch (OpenVME)
    Limitations
    • Coached plan charged per unit, with a maximum of 6 hours of expert time per year
    • Price list found in Dutch (help centre and openvme.be)

When another solution fits better

  • You are comfortable with accounting and want the lowest cost: OpenACP's Free plan, or Syndic24 (€2 incl. VAT per unit per month on Particulier, but without general meetings or minutes, which are reserved for the Premium plan at €5).
  • Your building is very small and you want to start without paying anything: OpenACP's Free plan lets you start for free.
  • You want software built around artificial intelligence, with the Civil Code majorities calculated: SyndicIA is designed for that.
  • Your building has many units and you prefer a fixed price per building: Konvivio charges €15 excl. VAT per month per building, not per unit.

Frequently asked questions

Does a volunteer syndic have to use software?

No. The Civil Code requires clear and accurate accounts, separate accounts for the working capital fund and the reserve fund, and annual budget estimates, not any particular tool. Software becomes useful when the spreadsheet can no longer split invoices and produce the calls for funds.

Is a standard chart of accounts required?

Not below twenty units, cellars, garages and parking spaces not included: the accounts may then be simplified and must at least show income and expenditure. Above that, the standard minimum chart of accounts set by the Royal Decree of 12 July 2012 applies, whether the syndic is a volunteer or a professional.

How much does software for a volunteer syndic cost?

Based on the prices we recorded on 25 September 2026, for a building with 6 billable units, from €0 a month (OpenACP Free) to €84 a month (Syndic Yourself VIP, which includes 5 hours of expert time and two insurance policies). The paid software-only plans in this panel range from €12 to €42 a month.

What is the difference between software and support?

Software calculates, splits costs and generates documents. Support adds people who answer your accounting or legal questions. In this panel, Syndic Yourself (from Premium) and OpenACP Coached include expert hours.

Does a volunteer syndic have to register with the Crossroads Bank for Enterprises?

Yes. The mandate of every syndic, professional or not, must be registered with the Crossroads Bank for Enterprises (KBO/BCE) in the name of the owners' association, through an approved business one-stop shop. Syndic Yourself offers this step as an option for €40 plus the registry fees.
